Out-of-hours call answering: how to stop losing jobs after 5pm
Guide · CallsBy Jon Billington8 min read

Out-of-hours call answering means someone or something answers your business calls in the evenings, at weekends and on bank holidays. Your four options are voicemail, forwarding to your mobile, a human answering service or an AI receptionist. The right one depends on how many calls you get after hours, how urgent they are and whether they need booking.
This guide compares each option on cost, what the caller gets and what you get the next morning. It also covers urgent calls at night and how to set up out-of-hours cover on the number you already have.
What is out-of-hours call answering?
Out-of-hours call answering is cover for the calls that come in when you are closed or tied up with customers. It catches the calls that would otherwise ring out or go to voicemail, and gets the details to you.
For a lot of small businesses, "out of hours" means more than nights. It's also the hour you're driving home, the Saturday you're at a family do, and the half day you take on a Friday. Customers ring when the problem happens or when they finally have a minute, and that is often after 5pm.
Good out-of-hours cover should:
- 1Answer in your business name, so the caller knows they've rung the right place.
- 2Take the details you need, such as name, number, postcode, the job and how urgent it is.
- 3Move the enquiry on with a message, a booking or an urgent alert to you.
What happens to calls you miss after hours?
Many of them never reach a person, and many of those callers don't wait for you. Even during the working day, a large share of business calls go unanswered.
The best recent figure comes from Invoca's 2026 Lead Conversion Benchmarks Report. Across more than 70 million calls, 56% of callers to businesses spoke with a person, which means 44% did not (Invoca, 2026). In home services, the answer rate was 52% (Invoca, 2026).
Bear in mind this is US data from a call-tracking vendor, averaged across businesses that use its platform. And it covers all calls, not just evenings and weekends. Treat it as a rough benchmark, not a UK out-of-hours figure.
The same report found that 42% of leads who reached a person converted on the call (Invoca, 2026). So picking up isn't enough. What happens on the call decides whether you get the job.
Your own phone will tell you more. Check your missed calls for two normal weeks and count the numbers you don't recognise that rang after you'd stopped work. Then put them into our missed call calculator to see what they might be worth.
What are your options for out-of-hours call answering?
You can use voicemail, forward calls to your mobile, pay a human answering service or use an AI receptionist. The cheaper the option, the less the caller usually gets.

Voicemail
Voicemail is free and already on your phone. But plenty of callers, especially new ones, hang up rather than leave a message. Small business owners on Reddit describe the same pattern again and again: lots of missed calls, far fewer messages. We cover this in more detail in does anyone leave voicemail any more?
Voicemail works if most of your callers already know you and are happy to wait until morning.
Forwarding to your mobile
Forwarding your business line to your mobile means you can answer from anywhere. It costs little or nothing, depending on your provider. But you're never off. Owners on Reddit talk about forwarding calls to their own phone and never getting a proper night's sleep. And if you don't answer, the call still ends up in voicemail.
Our guide to forwarding and diverting calls in the UK has the codes for the main providers.
A human answering service
A human answering service puts a trained receptionist on your calls. A person copes well with unusual calls, and some callers prefer it. Pricing is usually a monthly fee with included minutes or calls, plus extra charges once you go over. Evening and weekend cover is often an add-on to business-hours plans, and some services ask for a minimum contract.
A common complaint in small business forums is paying for a service that only takes a name and number. If it can only take a message, it isn't doing much more than voicemail.
An AI receptionist
An AI receptionist answers forwarded calls automatically, in your business name. It asks the questions you set, follows your rules for urgent calls and sends you the details straight away. Most charge a flat monthly fee. Some can also book the caller into your calendar.
Some callers don't want to talk to an automated system. A good AI receptionist tells callers it's automated and passes them to you when it can't help.
What does out-of-hours call answering cost?
Voicemail costs nothing. Answering services and AI receptionists charge a monthly fee. The bigger difference is how you're charged and what you get for it.
| Option | Typical cost type | Charged per call or minute? | Evening and weekend cover | Can it book jobs? | What you get next morning |
|---|---|---|---|---|---|
| Voicemail | Free | No | Yes, but no one answers | No | Messages from the callers who left one |
| Forward to your mobile | Free to low, depends on your provider and plan | Sometimes, diverted calls can be charged | Only if you answer | Only if you do it yourself | Whatever you remembered to write down |
| Human answering service | Monthly fee with included minutes or calls | Often, once you go over the allowance | Often an add-on | Some services, usually at a higher tier | A message or call log |
| AI receptionist | Usually a flat monthly fee | Depends on the provider | Answers whenever you forward calls | Some can, into your calendar | A summary of each call, often with a recording and transcript |

When you compare quotes, ask four questions:
- 1Is evening and weekend cover included, or extra?
- 2What happens when I go over my minutes or calls?
- 3Is there a minimum contract?
- 4Can it book the caller in, or only take a message?
Should out-of-hours cover take messages or book appointments?
If your callers want a time, a booking beats a message. A message leaves you ringing back in the morning, by which point the caller may have booked someone else.
With a message-only service you start the day with a to-do list. You ring back, play phone tag and try to agree a slot. A caller who rang at 8pm because their boiler had stopped may have found someone else by 8am.
Booking closes the enquiry while the caller is still on the line. They hang up with a time in your diary and a text confirming it, and you start the day knowing what's booked.

Booking isn't right for every call. Big quotes, complex jobs and anything that needs your judgement are better as a detailed message with a callback. A good set-up books the routine calls and passes the rest to you with the details already captured.
How do you handle urgent calls at night?
Decide in advance what counts as urgent and what should happen when one comes in. Your out-of-hours cover then follows those rules instead of guessing.
For a plumber, water coming through a ceiling might be urgent. For a letting agent, it might be a tenant locked out. Write your rules down before you switch anything on:
- 1What counts as urgent for your business.
- 2Who should be told, and whether by text, transfer or call.
- 3What the caller should be told if no one can come out tonight.
- 4The emergency numbers that matter for your calls. For example, anyone who reports a smell of gas should be given the gas emergency number, 0800 111 999 in Great Britain or 0800 002 001 in Northern Ireland.
We explain how Ringzel handles these moments in what happens when an AI receptionist can't help.
How do you set up out-of-hours call answering?
Keep your number and divert the calls you don't answer to your out-of-hours cover. Your phone still rings first, and only the calls you miss move on.
On most UK lines you can set conditional diverts:
- When not answered, calls go on if you don't pick up in time.
- When busy, calls go on if you're already on the phone.
- When unreachable, calls go on if your mobile is out of signal or switched off.
Set all three on a mobile, so calls don't drop to voicemail when you lose signal on a job. If you only want cover after closing time, switch the divert on when you finish for the day and off in the morning. Our call forwarding guide has the step-by-step codes.
How Ringzel handles out-of-hours calls
Ringzel is an AI receptionist for small businesses of every kind. It answers the calls you forward to it, evenings and weekends included, in your business name.
- Unlimited calls on every plan, with no per-call charges, so a busy weekend doesn't mean a bigger bill.
- A summary straight after each call, with the recording and transcript.
- Your rules for urgent calls, with a text to you straight away in an emergency.
- Bookings into your calendar or CRM on the Professional plan, so routine callers hang up with a time booked.
- An SMS confirmation to the caller, so they have the booking in writing before you've seen it.
- You keep your number and forward the calls you can't take.
Plans are £99, £179 or £299 a month. Bookings, call transfers and team routing start on Professional at £179. Every plan has a 14-day free trial that starts when you create your account, with no card needed.
If your out-of-hours callers already leave messages and you ring them back first thing, you may not need any of this.

Out-of-hours call answering: questions
How much does an out-of-hours answering service cost in the UK?
It depends on the type. Voicemail is free. Forwarding to your mobile may cost what your provider charges for diverted calls. Human answering services usually charge a monthly fee with included minutes, and evening and weekend cover is often extra. AI receptionists usually charge a flat monthly fee. Ringzel's plans are £99, £179 or £299 a month with unlimited calls.
What is the cheapest way to answer business calls after hours?
Voicemail and forwarding to your own mobile are the cheapest. They cost little or nothing, but they rely on callers leaving messages or on you answering. If you're losing new customers after hours, a paid option may cost less than the jobs you miss.
Is an after-hours answering service worth it for a small business?
It's worth it if after-hours calls are turning into lost jobs. Count the new callers who ring after you close over two normal weeks, and estimate what they're worth. If most of your callers are repeat customers who wait for a callback, voicemail may be enough.
Is an AI receptionist or a human answering service better for evenings and weekends?
A human service copes well with unusual calls and suits callers who want a person. An AI receptionist usually costs a flat monthly fee, answers every forwarded call and can book routine jobs. Some callers don't like automated systems, so choose one that says it's automated and passes callers to you when needed.
Can an answering service book appointments outside business hours?
Some can. Many human services only take messages unless you pay for a higher tier, and some AI receptionists can book straight into your calendar. On Ringzel, from the Professional plan, the caller is booked into your calendar or CRM and sent an SMS confirmation.
Do customers leave voicemails after hours?
Some do, but many don't, especially new customers who can ring the next business instead. If your voicemail inbox has far fewer messages than your missed call list has calls, that's a sign callers are moving on.
