Why every call gets a check report

By

Any receptionist can sound fine on the calls you happen to listen to. The problem is the calls you don't hear: the message with a missing number, the booking that didn't happen, the urgent call that should have been escalated.

You can't listen back to every call. So with Ringzel, you don't have to.

What you get after every call

After every call, you get four things:

  • A summary of who called and what they need.
  • The recording.
  • The transcript.
  • A check report.

That's included on every plan.

Who does the checking

The receptionist that answers your calls doesn't mark its own work. Within three minutes of a call ending, a separate check reviews the call and writes the report.

What the check looks at

  • Did the receptionist tell the caller it's automated?
  • Did it capture what the caller needed, with a name and a number where the caller was willing to give them?
  • Was an appointment booked, or a call back arranged?
  • If the call was urgent, out of scope or an emergency, did it follow your instructions?
  • How did the caller seem to leave the call?
  • Were there any specific problems? If so, the report quotes the part of the transcript where they happened.

What gets flagged

A call is flagged if:

  • it should have been escalated and wasn't
  • the caller wasn't told they were speaking to an automated receptionist
  • the caller was left without a way forward
  • anything unsafe was said

Flagged calls are brought to your attention, so you can deal with them without searching through every call. Silent calls and obvious spam aren't treated as failures. The report simply says what they were.

Why it matters

An AI receptionist is only useful if you can trust it with the calls you don't hear. The check report gives you a second look at every call, so you know the details were captured properly and urgent calls were handled the way you asked, without listening back to everything.

It also works the other way. If your receptionist keeps getting the same kind of call wrong, the flags show you where your instructions need to change.
