Plumber answering service vs voicemail vs a receptionist

Guide · PlumbersBy 9 min read

A plumber answering service picks up the calls you can't take while you're on a job, driving or off for the night. The alternatives are voicemail, ringing people back later, or paying a receptionist. Voicemail is free but loses urgent callers, a receptionist is the best cover but costs a full wage, and an answering service sits between the two.

This guide sets out what each option really costs a UK plumbing business, what the customer gets on the call, and which one fits a one-van business, a small team or a firm with an office.

Figures checked on 21 October 2026.

Why plumbers miss so many calls

Because the job and the phone want you at the same time. You can't take a call with your arms under a sink, at the top of a loft ladder or halfway through soldering a joint. You shouldn't take one while driving. And the calls don't stop at 5pm.

The calls you miss aren't all equal. A supplier or an existing customer will ring back. A new customer with water coming through the ceiling usually won't. In a 2026 survey of 2,000 UK adults, 75% said they'd give a business three call attempts before giving up on it, and 58% said they'd tell friends and family to avoid a business that didn't pick up (BT Business, 2026). Someone with a burst pipe may not wait for the second attempt.

Before you pay for anything, look at your own phone. Over two normal weeks, count the missed calls from numbers that aren't in your contacts, and note the times. If they're mostly while you're on jobs, you need daytime overflow. If they're mostly evenings, you need out-of-hours cover. Our guide to handling out-of-hours and emergency calls covers the second case in detail.

Option 1: voicemail

Voicemail costs nothing and is already on your phone. It's fine for regular customers and suppliers, who know you'll ring back.

It's weak for the calls that matter most. New customers with an urgent problem tend to hang up and try the next number, and a voicemail full of half-messages still leaves you ringing round at 7pm. We look at the evidence in does anyone leave voicemail any more?

If you stick with voicemail, make the greeting work harder. Give your business name, say when you'll ring back, ask for the address and what's wrong, and give your instruction for emergencies. If the caller smells gas, the greeting should give the gas emergency number: 0800 111 999 in Great Britain (National Gas) or 0800 002 001 in Northern Ireland (nidirect).

Option 2: ring them back when you get a minute

Calling back between jobs feels like the responsible thing to do, and for quotes and planned work it's often enough. Someone pricing up a new bathroom will usually wait a few hours.

It fails on urgent work. By the time you're out from under the sink, a customer with a leak has often booked whoever answered first. And it eats your evenings: ten missed calls at lunchtime turn into ten callbacks, a few rounds of phone tag and a pile of notes on the back of a receipt.

Option 3: a receptionist or office manager

A person answering your phone is the best experience a caller can have. They know your prices, your diary and your regulars, and they can talk a worried customer through finding the stop tap. In many plumbing firms this is a partner or family member, and it works well until they're busy, on holiday or off for the evening.

Paying someone is a big step for a small firm. The National Careers Service puts the average receptionist salary at £21,000 to £25,000 a year, for 37 to 40 hours a week (National Careers Service). A full-time employee aged 21 or over must be paid at least the National Living Wage, which is £12.71 an hour from 1 April 2026 (GOV.UK).

Worked example: one full-time receptionist, 37.5 hours a week at the National Living Wage.

  • Cost

    How it's worked out
    £12.71 × 37.5 hours × 52 weeks

Employment Allowance can cut employer National Insurance by up to £10,500 a year if you're eligible (GOV.UK). Even so, a receptionist works office hours, so evenings and weekends stay uncovered unless you pay overtime.

Option 4: a plumber answering service

An answering service answers your calls in your business name when you can't. There are two kinds, and they suit different firms.

A human answering service

A remote receptionist takes your overflow and out-of-hours calls from a script you agree. A person copes well with an odd call and suits customers who want to talk to someone. Most services charge per call or per minute, often with a monthly allowance, and evenings and weekends can cost extra. Many take a message rather than book the job, so you still ring back.

An AI receptionist

Software answers your forwarded calls, asks the questions you've set, sorts urgent calls from routine ones and sends you the details straight away. Most charge a flat monthly fee whatever the call volume, and some can book work into your calendar. It should tell callers it's automated, never make up plumbing advice and hand the call to you when it can't help. Some callers would rather speak to a person, and our guide to whether customers hang up on an AI receptionist covers what puts them off.

Our side-by-side of AI receptionists and human answering services goes into the differences, including when a person is the better choice.

What a call needs to capture for a plumbing job

Whoever answers, the call is only useful if you can act on it without ringing back to ask the basics. Agree the questions in advance:

  1. 1Name and a mobile number.
  2. 2The address and postcode, so you know whether it's in your area.
  3. 3What's happening, in the customer's words: a leak, no hot water, a blocked drain, a quote for new work.
  4. 4Whether water is still running, and whether they've turned the stop tap off.
  5. 5Whether it's an emergency under your rules, and when they're free if it isn't.
  6. 6How they found you, so you know which advertising works.

It also helps to know what a job is worth before you decide how much to spend on cover. Checkatrade's June 2026 cost guide puts the average plumber at £50 an hour, the average call-out charge at around £110, and a burst pipe repair at an average of £150 (Checkatrade). Those are consumer price guides, not your figures, so use your own invoices if you have them.

Which should a plumbing business choose?

  • Few missed calls, mostly regulars: a good voicemail greeting and quick callbacks may be all you need.
  • One van, on the tools all day: an answering service that covers the calls you miss, so you can ring back with the details in hand.
  • A small team with someone in the office part of the day: keep that person, and use an answering service for overflow, lunch and evenings.
  • A busy firm with steady call volume: a receptionist earns their keep, with an answering service behind them for nights and weekends.
  • Callers who really need a person, for example vulnerable customers or complex insurance work: a human answering service may suit those calls better than software.

Plumber answering service questions

What is a plumber answering service?

It's a service that answers your calls when you can't, in your business name, and passes on the job details. It can be a human receptionist working remotely or an AI receptionist. The good ones ask your questions, spot urgent calls and get the details to you straight away.

Is an answering service worth it for a one-person plumbing business?

Often, because a sole trader is the person most likely to be mid-job when the phone rings. It's worth it if the new jobs you'd win from missed calls are worth more than the monthly fee. Count your missed new-customer calls for two weeks and run them through a missed call calculator before you decide.

How much does a receptionist cost a plumber?

A full-time receptionist aged 21 or over on the National Living Wage, £12.71 an hour from April 2026, costs about £24,785 a year in pay for a 37.5-hour week. With employer National Insurance and the minimum pension contribution, that's about £28,300, before holiday cover, training and equipment.

What's the difference between an answering service and an AI receptionist?

With a human answering service, a person answers your calls remotely from an agreed script, usually charged per call or per minute. An AI receptionist is software that answers, asks your questions and sends you the details, usually for a flat monthly fee. Some callers prefer a person, while software asks the same questions every time.

Will customers know they're not talking to me?

They should. A good AI receptionist tells callers it's automated at the start of the call and never pretends to be you. What most callers want is to know they've reached the right business and that the details have been taken properly.

Can an answering service handle emergency plumbing calls?

It can take the details, follow your instructions for emergencies and alert you straight away. It shouldn't give plumbing advice of its own. Ringzel gives your emergency instruction, texts you, and gives the gas emergency number if a caller mentions a smell of gas.

Can I keep my mobile number?

Yes. You keep your number and forward only the calls you don't answer, or all calls at set times, using your network's divert settings.
