What missed calls cost a law firm (and when cover pays for itself)

Guide · Law firmsBy 8 min read

A missed call from a potential client costs your firm the fee on that matter multiplied by the chance the caller would have instructed you. There's no reliable published figure for law firms, so the honest way to work it out is with your own average fee and your own conversion rate. In the worked example below, which uses made-up numbers, three missed new enquiries a week cost a small firm £46,800 a year in fees.

This guide gives you the sum, shows which calls cost the most to miss, explains how to count the calls your firm is missing now, and sets out when paying for phone cover makes financial sense and when it doesn't.

Ringzel is from £99 a month, and you can set up in under 5 minutes. Basic covers unlimited calls, AI phone answering in your business name, WhatsApp follow-up from your Ringzel account where available, call summaries, and a recording, transcript and check report on every call; Professional at £179 a month adds bespoke AI website chat, bookings into your calendar, call transfers and team routing; Premium at £299 a month adds integrations and reputation management.

How much does a missed call cost a law firm?

Missed new-client calls a week, multiplied by the share of those callers who would have instructed you, multiplied by your average fee per matter, multiplied by 52. That's the yearly cost in lost fees, before you count goodwill or fee earner time.

  • Input

    Missed new-client calls a week

    Where to find it
Your phone system's call log: unanswered calls from numbers you don't recognise
  • Input

Share who would have instructed you

    Where to find it
Your own enquiry-to-instruction rate, from your case management or intake records
  • Input

    Average fee per matter

    Where to find it
Your billing records, ideally split by area of law

You'll see headline figures for missed calls across all businesses. A BT Business survey of UK small businesses, published on 1 October 2026, put the average yearly cost of missed calls at £1,597 for businesses with 1 to 9 employees. BT sells its own AI receptionist and describes the estimate as indicative, and it covers every kind of small business, not law firms. One lost probate or conveyancing instruction can be worth more than that on its own, so your own figures are the better guide.

Worked example: what missed enquiries cost in a year

Here's the sum with made-up inputs for a small firm. Change each line to match yours.

  • Input

    Missed new-client calls a week

    Example figure
    3
  • Input

Share who would have instructed you

    Example figure
    25%
  • Input

    Average fee per matter

    Example figure
    £1,200
  • Input

    Weeks a year

    Example figure
    52
  1. 13 missed calls × 25% = 0.75 lost instructions a week.
  2. 20.75 × £1,200 = £900 in lost fees a week.
  3. 3£900 × 52 = £46,800 a year.

Even if only one caller in ten would have instructed you, the same sum comes to £18,720 a year. Our missed call calculator does the arithmetic for you.

The example is deliberately simple. It treats every missed caller as lost, when some will ring back, and it ignores repeat work, such as the client whose conveyancing leads to a will. Those two effects pull in opposite directions, so the plain sum is a reasonable place to start.

Which law firm calls cost the most to miss?

New enquiries for work people shop around for, and new enquiries from people in a crisis. Existing clients chasing progress cost the least, because they almost always try again.

  • Caller

New enquiry for conveyancing, wills or probate

    Why it matters
People often compare prices and ring several firms
    Will they try again?
Often not: the next firm that answers may get it
  • Caller

New enquiry in a crisis, such as a separation, a dismissal or an arrest

    Why it matters
    Higher value and more personal
    Will they try again?
Less likely if they've had to steel themselves to call
  • Caller

Referral from a past client or a contact

    Why it matters
    They've already chosen you
    Will they try again?
Usually, but it's a poor first impression
  • Caller

    Existing client chasing progress

    Why it matters
No new fee, but goodwill and time
    Will they try again?
    Almost always

Referrals are worth protecting. In the Legal Services Consumer Panel's 2026 tracker survey of 3,802 legal services users in England and Wales, 21% chose a provider they or a family member had used before and 18% followed a recommendation from family or friends. Those callers arrive half-won. Missing them wastes the work that earned the recommendation.

Price shoppers are worth answering too. The same survey found 42% shopped around, and of those who compared providers, 57% compared price and 52% compared reputation. A caller who gets through can ask about your fees there and then; one who doesn't is comparing the firms that answered.

What does a missed call cost beyond the lost fee?

Reputation, time and a harder first conversation. None of these show up in the sum above, but they're real.

  • Word of mouth. In BT Business's 2026 survey of 2,000 UK adults, 58% said they'd tell friends and family to avoid a business that didn't pick up.
  • Fee earner time. Every round of phone tag with a new enquiry is time a solicitor can't bill.
  • A colder start. A caller you ring back hours later has had time to doubt themselves or to speak to someone else, and the first conversation is harder.
  • Existing clients. A client who can't get through tends to ring more, not less, and their next call is often a complaint.

How do you find out how many calls your firm misses?

From your phone system's call log. Two normal weeks is enough to see the pattern.

  1. 1Export two weeks of call history from your phone system or provider's portal.
  2. 2Filter for unanswered and abandoned calls, including those that went to voicemail.
  3. 3Split them by time of day: office hours, lunch, the first hours after closing and weekends.
  4. 4Mark calls from numbers that aren't existing clients or contacts. Those are your likely new enquiries.
  5. 5Count how many of those callers left a voicemail and how many you managed to call back.
  6. 6Compare the total with the new matters you opened in the same fortnight.

Look especially at lunchtime, the hour after closing and Saturday mornings, when reception is often thin. Our guide to out-of-hours calls for law firms covers what to do with the evening and weekend share.

When does call cover pay for itself?

When the fees it protects are more than it costs. At £99 a month, Ringzel Basic costs £1,188 a year, so at an average fee of £1,200 it pays for itself if it saves one instruction a year.

A receptionist does far more than answer the phone, so this isn't a like-for-like comparison. Our guide to what a law firm receptionist really costs breaks that figure down. The point is narrower: covering the calls your team can't take is cheap compared with the fees a few missed enquiries carry.

If your log shows very few missed calls from new numbers, you may not need any extra cover. A better voicemail greeting and a firm call-back routine could be enough.

What do you do when you're still missing calls during the day?

When daytime rings still slip through, add overflow cover that picks up after a few unanswered rings, takes the intake and sends you the details, rather than hoping people leave a voicemail.

  • Set a no-answer divert, so calls move on after a few rings instead of ringing out.
  • Cover lunch, either by staggering breaks or by diverting to an answering service.
  • Have a plan for evenings and weekends, even if it's only taking details for a call back first thing.
  • Give one person the job of returning overnight and missed calls before 10am.
  • Offer website chat for people who'd rather type than ring.
  • Check the call log monthly, so you notice if the pattern changes.

How Ringzel answers calls for law firms

Ringzel is an AI receptionist for law firms. You keep your number and divert the calls your team can't take, so a new enquiry is answered instead of ringing out.

It answers in your firm's name, tells the caller it's automated and asks the intake questions you set, such as the area of law, a short description of the matter and the names of other parties for your own conflict check. It never gives legal advice and follows your instructions for urgent matters. After each call you get a recording, a transcript, a summary and a check report, and our privacy policy explains how call data is processed.

Plans are from £99 a month with unlimited calls. Professional adds call transfers, routing by department and bookings into your calendar. You can set up in under 5 minutes, and every plan has a 14-day free trial.

Questions about missed calls for law firms

Do people leave voicemail when a law firm misses their call?

Often they do not. Many callers with a live legal problem hang up and try another firm, so a missed ring is usually a missed enquiry rather than a message waiting for you.

How do you catch calls you don't pick up after a few rings without hiring full-time reception?

Forward unanswered calls (or calls when the line is busy) to an answering service or AI receptionist on the number you already use. That covers overflow without another full-time salary.

How much does a missed call cost a law firm?

Work it out as missed new-client calls a week × the share who'd have instructed you × your average fee × 52. With made-up inputs of 3 calls, 25% and £1,200, that's £46,800 a year.

Is there an average missed call cost for law firms?

Not a reliable one. A 2026 BT Business survey put the average yearly cost of missed calls at £1,597 for all businesses with 1 to 9 employees, but it isn't specific to law firms and BT calls it indicative. Your own figures are a better guide.

Which missed calls matter most?

New enquiries, especially for work people shop around for, such as conveyancing and wills, and enquiries from people in a crisis. Existing clients chasing progress usually ring back.

Does Ringzel give legal advice?

No. It takes the details and passes them to your team. If a caller asks for advice, it explains that a member of your team will need to speak to them.

Do I need a new number?

No. You keep your firm's number and divert the calls you can't take to Ringzel.

How much does Ringzel cost?

From £99 a month with unlimited calls. See our pricing page for what each plan includes.

How long does it take to set up?

Under 5 minutes, and every plan starts with a 14-day free trial.
